What is Screenshare Access?

Screensharing is a powerful tool in classroom settings. SchoolSpace allows for managing who can share their screen in a given world, which helps educators and administrators maintain focus, safety, and alignment with school policies during classes and events.

As a Moderator, Manger, or Owner you have the ability to update the Screenshare Access setting within a world. There are three options for the Screenshare Access setting:

  • Admins Only - The Screenshare screenshare icon is hidden for all users except admins. Screenshare requests are disabled. This is the default Screenshare Access setting for SchoolSpace worlds.
  • Request Access Only - The Screenshare screenshare icon is visible to all user. When clicked, admins can freely share their screen and non-admins can request to screenshare. Screenshare Requests show up in a new “Screenshare Requests” queue in the Overview tab of the Users Menu currentUsers.
  • Anyone In World - The Screenshare screenshare icon is visible for all users and all users can freely share their screen at any time.

 

To Update Screenshare Access:
  1. In the left sidebar, click World Settings settings → General User Controls. You may have to scroll down to see the General User Controls option.
  2. In the Communication section under Screenshare Access, choose:
    • Request Access Only to allow non-admin users like students the ability to request to share their screen. Admins will have to approve the non-admin user's request to start the screenshare. Admins can freely share their screen.
    • Anyone in World to allow all users including non-admins to freely share their screen.
    • Admins Only to allow only admins the ability to freely share their screen.

How Do Screenshare Requests Work?

When Screenshare Access is set to Request Access Only, non-admin users (like students) will see a Request To Screenshare screenshare option in their own video tile and in the Self Controls section of the Overview tab in the Users Menu currentUsers. Clicking Request to Screenshare screenshare will add them to a queue of Screenshare Requests that Moderators can approve or deny from the Users Menu currentUsers. Admins can always freely share their screen.

After the request is sent, the non-admin user will see a notification in the lower left corner of their screen letting them know they successfully sent the request.

Moderators will also see a notification when someone requests to share their screen. Moderators can approve check or deny x the request from the notification or the Screenshare Requests queue in the Overview tab of the Users Menu currentUsers

After approving or denying a Screenshare Request, the Moderator will see a notification confirming that the approval or denial was successful.

When a Moderator approves or denies the user's Screenshare Request, the user will see a notification in the lower left corner of their screen. If the request has been approved, the user will have two minutes to start sharing their screen and can start the screenshare from the notification. If the request has been denied, the user will see a notification that includes the name of the Moderator who denied their request.

Moderators can end another user’s screenshare at any time by clicking Turn Off Screen Share screenshare in the upper left corner of the user's video tile.
