Controlling Access to a Private Zone
What is a Private Zone?
A Private Zone is a space where only a set number of people will connect over video chat. Once the Private Zone reaches it's capacity, anyone else who enters the zone will not connect with the people already in the zone.
When someone enters a Private Zone, they can only see and hear others inside that same zone. Everyone outside the zone is automatically excluded from the conversation.
To Enter a Private Zone:
- Move your avatar so it's within the asset set as a Private Zone.
- If the Private Zone has space for you, you will connect over video chat with others in the zone.
- You'll see a notification in the bottom right corner of your screen if you've successfully entered the Private Zone! The notification will tell you the current capacity and the Private Zone asset will appear darker.

- If the Private Zone is full or you're not on the Approved List, you'll see a notification communicating this in the bottom right corner of your screen.
- To leave the Private Zone, walk away from the Private Zone asset. You'll see a notification saying you've left the Private Zone.

Some Private Zones also have an Approved List. Only people on the Approved List can connect via video chat in the Private Zone.
Private Zones for Admins
Editors, Designers, Managers, and world Owners can add Private Zones. Any asset can be set up as a Private Zone. However, we recommend using:
- An asset large enough to accommodate the set capacity.
- A square or rectangular asset whenever possible.
Private Zones are great for:
- Study hall
- Tutoring sessions
- Office hours
- Student hang out spaces
- Parent - Teacher conferences
- Anywhere you want to promote focus and reduce distractions.
To Add a Private Zone:
- Click Builder Mode
in the left sidebar or press B on your keyboard to enter Builder Mode.
- Find the asset you want to set as a Private Zone. You can:
- Use Pan
to change your view of the world, then use Select
and click the asset to open the Asset Selection Menu.
- Click Assets
in the left sidebar and search the Placed Assets list. Click an asset in the list to open the Asset Selection Menu.
- Place a new asset from the SchoolSpace Asset Library. After placing, press ESC on your keyboard then click the asset in the world to open the Asset Selection Menu.
- Use Pan
- In the Asset Selection Menu on the right side of your screen, click Configuration → Zones.

- In the Zone Type dropdown, choose Private Zone. A new Private Zone section will appear below.

- Set the Capacity for the Private Zone by typing a number or using the arrows.
- When capacity is set to 10 or less, everyone in the Private Zone will connect over video chat regardless of their distance from each other.

- When capacity is set to 10 or less, everyone in the Private Zone will connect over video chat regardless of their distance from each other.
- [Optional] Under Private Zone Channel:
- Toggle on to allow people in the Private Zone to use a dedicated chat channel to communicate. Only people inside this Private Zone can use this channel.
- Toggle off to disable the chat channel for this Private Zone.

- To continue building: Click Clear Selection in the upper right of the Asset Selection Menu.
- To exit Builder Mode: Click Builder Mode
or press B on your keyboard.
- To disable the Private Zone: Click the X icon on Private Zone in the Zone Type dropdown.

If you want to include a dedicated chat channel for your Private Zone, make sure the world settings allow for this. Moderators, Managers, and world Owners can enable this setting.
To Add an Approved List to a Private Zone:
An Approved List is optional. Only people on the Approved List can connect via video chat in the Private Zone.
- Click Builder Mode
in the left sidebar or press B on your keyboard to enter Builder Mode.
- Use Select
and click the asset set as a Private Zone.
- In the Asset Selection Menu, click Configuration → Zones.

- In the Zone Type dropdown, choose Approved List. A new Approved List section will appear below.

- In the Approved List section, click the blue plus
button.

- Choose an Upload Type from the dropdown:
- List: Bulk upload emails. Click Choose File, select a .csv file of user emails, then click the blue Add to List button. To replace an existing list with a new file, click the Replace List button.
- Email Address: Add emails individually. Type an email in the Email Address text box and click the blue Add Email button.
- Emails added will be shown in the Approved List section. Click the back arrow
in the upper left of the Asset Selection Menu to view these email addresses.
To remove someone from the Approved List: Click Removenext to their email.

- To disable the Approved List: Click the X icon on Approved List in the Zone Type dropdown.

Student or teacher emails added to an Approved List must match school SSO accounts. If you want to allow external guests into the Private Zone, add the email addresses used when setting up Guestlist Bypass.
Private Zone Tips
- Add a Landmark Zone to the Private Zone asset and give the Landmark a recognizable name (e.g., Study Room, Math Group). This makes it easy for people to teleport to the Private Zone!
- Place a sign or Custom Text asset near a Private Zone so people can see where it is as they walk around.
- Add a Broadcast Zone to an asset within the Private Zone. Only people inside the Private Zone will see and hear the broadcaster. Create multiple spaces like this for simultaneous presentations in a single world!
- Moderators can manually turn on Broadcast - Private Zone for themselves or others while inside a Private Zone. Everyone inside the Private Zone will see and hear the broadcaster.
- Create Private Zones for one person to give people a quiet place to solo work or take a break.
- Create Private Zones for two people for parent - teacher conferences, tutoring, staff office hours, or feedback sessions.
- Some SchoolSpace students appreciate having Private Zones in social worlds so they can hang out with friends without distractions.
