Understanding and Accessing Reports in SchoolSpace

This article explains the two types of student reports in SchoolSpace - Student Reports and Gaggle Reports - and shows educators how to view them in the world, in Dashboard, or through your designated internal messaging channel.

Types of Reports

Maintaining a safe, respectful environment is a top priority in SchoolSpace. To support that, there are two types of reports available to help identify and address concerning behavior:

 

Student Reports

These are reports submitted by students when they experience or witness inappropriate behavior from a peer.

What’s Included in a Student Report:
  • Time of incident
  • Name of reported student
  • Name of reporting student
  • Reason for the report (selected from dropdown: intimidation, threats, illegal activity, etc.)
  • Additional comments from the reporter.
  • Location. The URL of the world where the incident occurred or a URL of the message history if a message was reported.

Students can submit reports from within any SchoolSpace world. Learn how students submit reports.

 

Gaggle Reports

If your school has opted in to automated reports via Gaggle, you may see system-generated alerts based on the presence of certain keywords or sentiment in a student’s messages. Gaggle’s system (which is a combination of AI-flagged and human review) scans chat messages for terms related to:

  • Self-harm or harm to others
  • Harassment or threats
  • Inappropriate behavior

A system-generated Gaggle Report will follow the same flow as a student generated report and are accessible from inside the world, in Dashboard, or through your school's designated internal messaging channel.

Gaggle will only moderate messages if your school opts in. For details on Gaggle monitoring, contact your Customer Success representative or reach out to success@schoolspace.io.

 


 

Viewing Reports

Reports can be viewed by a Moderator, Manager, or Owner in a world, in Dashboard, or in your school's designated internal messaging channel.

 

View Recent Reports in a World

When a report is initiated from inside a world, the information about the report will be visible to Moderators, Managers, or Owner of the world for 72 hours. This applies to reports submitted by students or system-generated via Gaggle.

To View Recent Reports:
  1. Enter your SchoolSpace world.
  2. In the left sidebar, click This World world → Reports.
  3. If any reports have been submitted in the last 72 hours, you will see a list of all reports with most recent at the top. Only reports submitted in the world you are currently in will be shown.
  4. Click Expand arrowDown next to a report to:
    • View the Report Reason and Additional Information.
    • Access a direct link to the Report in Dashboard.

View All Reports in Dashboard

Full history of student submitted or system-generated reports is available in Dashboard. You will see reports submitted in worlds where you are a Moderator, Manager, or Owner or reports involving students you manage.

To View Reports in Dashboard:
  1. In the left sidebar, click World Settings settings in the left sidebar and select any option that will open dashboard in a new tab (e.g. User Sessions).
  2. Click report Reports on the left side of your screen.
  3. Use the options at the top of the table to filter by:
    • Type of report.
    • Reason for the report.
    • Student name.
    • Date and time of the report.
  4. When you have located the report(s) you need, you can click either:
    • View Details preview to see the full report.
    • Export export1 to download multiple report details.

 

View Real-Time Reports in your Messaging Channel

During onboarding, SchoolSpace configured your reports to be routed to a system of your choice. Options include:

  • Slack
  • Microsoft Teams
  • Zoom Chat
  • Google Spaces
  • Email
  • Other integrations

To View Reports in your Messaging Channel:
  1. Navigate to the assigned internal channel or email inbox where reports have been routed.
  2. Scroll to find the report you need.
