Create and Customize Events in your Virtual Campus

This article explains how to schedule events inside your SchoolSpace world. Events are a great way to let students, staff, and families know what’s happening and where to go. You will learn about the different types of events and how to create, edit, link, and delete events.

How Do Schools Use Events in SchoolSpace?

Events can be used to highlight planned activities like assemblies, presentations, or clubs. They’re a great way to add structure to the time that students, staff, and families spend in SchoolSpace. They can also make it easy for participants to move their avatar to the exact spot where the event is taking place. When you create an event in a SchoolSpace world, only people with access to that world will be able to attend the event. If you want to invite parents or community members to an event, you can add them to a guestlist to give them access to the world.

To Schedule an Event, you'll need to be able to

Log in and enter the SchoolSpace world where you want the event to take place

✔ Be a Moderator, Editor, Designer, Manager, or World Owner of the SchoolSpace world where you want the event to take place

 

There are two types of events on SchoolSpace:

World Events Asset Events
  • These events are “worldwide,” they do not have a specific location within the world
  • Examples: Spirit Week, Finals Week, Earth Day, Parent Teacher Conferences, etc
  • These events have a specific location in the world
  • Participants can click a button to easily move their avatar to the event location
  • Examples: Color Day Parade, Algebra Final, Earth Day Scavenger Hunt, Talent Show, individual Parent Teacher Conference timeslots, etc

⚠️ For Asset Events: If the asset containing the event is deleted, the event will also be deleted.

 

Both World Events and Asset Events can be standalone events (like a Talent Show) or linked events (like a Color Day Parade that happens during Spirit Week). Linking events is an easy way to display an agenda or itinerary for your event participants. You can also create a clickable asset that will open the Events drawer to easily guide people to a list of events happening in the world.

 


 

What Information do I Need Before I Schedule an Event?

You’ll need to know a few things before you create the event:

✔ Be a Moderator, Editor, Designer, Manager, or World Owner of the SchoolSpace world where the event will take place

✔ Decide if the event will be worldwide (a World Event) or should happen in a specific location (an Asset Event)

✔ Have a title, start date and time, and end date and time for your event

You can always edit the event details (including title and start/end date and time) after you’ve created your event

Title

The name of your event.

Example: Color Day Parade

  • Required to create the event
  • Max 50 characters

Description

Any event details you want people to see.

Example: a summary of what will happen during the event

  • Optional, can add/edit at anytime
  • Max 150 characters

Image A small image to make your event stand out!
  • Optional, can add/edit at anytime
  • Recommended size is 200px x 200px
  • If you do not add an event image, the world image will be used instead

Start Date and Time When the event starts
  • Required to create the event
  • Start Date and Time defaults to the current date and time
  • Date and time will display your current timezone during creation.
  • If you have people in other time zones attending, they will see the event start date and time in their time zone.

End Date and Time When the event ends
  • Required to create the event
  • End Date defaults to the current date.
  • End Time will default to 30 minutes after the Start Time
  • End Date can be after the Start Date to create a multi day event
  • Date and time will display your current timezone during creation.
  • If you have people in other time zones attending, they will see the event end date and time in their time zone

Link to Existing Events

Connects multiple related events.

Example: Your school has Spirit Week. You have a multiday event for Spirit Week. Tuesday is the Color Day Parade. You can create an event for the Color Day Parade and link it to the Spirit Week event.

  • Optional, can add/edit at anytime
  • Create the main event first so you can link other events to it
  • Use the dropdown to find the event you want to link to

 


 

Managing Events

To Create a World Event:

Follow these instructions to create an event for the entire world

  1. On the lower half of the left sidebar, click Events eventManage Events
  2. Add your Event Details:
    • Title - required
    • Description - optional
    • Image - optional
    • Date and Time - required
    • Link to Existing Event - optional
  3. Click the Add Event button to save your event.

 

To Create an Asset Event:

Follow these instructions to create an event for a specific location in the world. Asset Events include a Teleport button so participants can easily move their avatar to the exact spot where the event is happening.

  1. Find or place the asset where you want the event to occur:
    • To find an existing Asset: Walk to the asset or click Assets assets on the left sidebar and search the Placed Assets list.
    • To place a new Asset: Click Assets assets on the left sidebar. Click the Placed Assets dropdown and change to SchoolSpace Assets. Scroll or search for an asset to use. Tip: Larger assets like Platforms or Rugs work really well for Asset Events!
  2. Select the Asset you want to use:
    • If you walked to the asset or placed a new asset, enter Builder Mode builder then click the asset to select
    • If you searched Placed Assets, simply click on the asset in the list
  3. In the Asset Selection menu on the right side of your browser, click ConfigurationEvents
  4. Click the blue plus plus button
  5. Add your Event Details:
    • Title - required
    • Description - optional
    • Image - optional
    • Date and Time - required
    • Link to Existing Event - optional
  6. Click the Create Event button

    ⚠️ If the asset is deleted, the event will also be deleted.

     

    To Check Event Details:

    Follow these instructions to see the full event details from an event participant perspective.

    1. On the left sidebar, click This World world and scroll down to the Events section
    2. Click View All to view all upcoming events
    3. In the Actions column, click More Information preview
    4. This will open a small window that shows:
      • Event Details: Event title, date/time, description, image, and the world where the event is taking place
      • Add to Calendar event2  icon: Adds the event to your Google or Outlook calendar. If you use a different calendar, click “Other” to download a .ics file and manually import the event information
      • Report report icon: Used to flag inappropriate events. 
      • For Asset Events only: Teleport teleport icon: Click to move your avatar to the event location

    By default, students cannot create events. Unless your school has a world where you’ve given students a world admin role, you will not see events created by students.

     

    To Edit or Delete an Event:

    Follow these instructions if you need to change any of the event details like title or date/time or if you want to permanently delete the event.

    1. On the lower half of the left sidebar, click Events eventManage Events
    2. Scroll down to view a list of all events
    3. Find the event you want to edit or delete:
      • Use filter Filter results to search by event title
      • Change the date range to search by date
    4. To Edit the event:
      • In the Actions column, click Edit Event edit
      • Make changes in the Edit Event section. You may have to scroll up to see all fields.
      • Click the Update Event button to save your changes
    5. To Delete the event:
      • In the Actions column, click Delete Event trash
      • You will see a pop up asking you to confirm. Click the Delete button to confirm or Cancel to keep the event.

    You do not need to delete past events. They will automatically disappear from the event list when the event End Time has passed.

     

    Linking Events

    When you link an event (e.g. Color Day Parade) to another event (e.g. Spirit Week), the linked event will show up as an “Activity” under the main event. You can think of this list of “Activities” as an agenda for your event participants. Before you do the steps below, make sure you’ve already created the main event (e.g. Spirit Week) so you can link the corresponding event (e.g. Color Day Parade).

    To Link Events during the Event Creation Process:
    1. Follow all steps in Create a World Event or Create an Asset Event above.
    2. At the bottom of the event details, click the dropdown to find the main event you want to link to. 
    3. Click to select the main event from the dropdown.
    4. Click Add Event or Create Event

    To do this, your main event (where you want the agenda to appear) needs to exist before you do the following steps.

     

    To Link an Existing Event to Another Existing Event:
    1. On the lower half of the left sidebar, click Events eventManage Events
    2. Scroll down to view a list of all events
    3. Find the event you want to add as an “Activity” and include on the main event agenda:
      • Use filter Filter results to search by event title
      • Change the date range to search by date
    4. In the Actions column, click Edit Event edit
    5. At the bottom of the event details, click the Link to Existing Event dropdown. 
    6. Click to select the main event from the dropdown.
    7. Click the Update Event button to save your changes.

     

    To Display a List of Events with a Clickable Asset:

    Follow these instructions to easily guide your attendees to a list of all events in the world.

    1. Find or place the asset where you want the event to occur:
      • To find an existing Asset: Walk to the asset or click Assets assets on the left sidebar and search the Placed Assets list.
      • To place a new Asset: Click Assets assets on the left sidebar. Click the Placed Assets dropdown and change to SchoolSpace Assets. Scroll or search for an asset to use. Tip: Search 'sign' to find several good options.
    2. Select the Asset you want to use:
      • If you walked to the asset or placed a new asset, enter Builder Mode builder then click the asset to select
      • If you searched Placed Assets, simply click on the asset in the list
    3. In the Asset Selection menu on the right side of your browser, click ConfigurationEvents
    4. Click the Link Type dropdown and select Open a platform application drawer or page
    5. Click the Open SchoolSpace UI dropdown and select Events Page
    6. You can test this by pressing the B key on your keyboard to exit Builder Mode and clicking the asset you just configured. When you click the asset, you should see the Events Page open from the left sidebar.
