Presentation Tools
How to use presentation tools in both Gallery and Explore Mode.
| This article walks through the presentation tools that are available to make it easy to share instructional content without leaving SchoolSpace. You can present a collaborative whiteboard, share a PDF, or play a video directly inside your world. Presentation Tools work in both Gallery Mode and Explore Mode, making it simple to switch between teaching and collaboration. |

Presentation Tools
Presentation Tools allow you to present content directly inside SchoolSpace. Instead of sharing your entire screen, you can:
- Collaborate on a whiteboard
- Display a PDF
- Play a video
Presentation Tools are available in both Gallery Mode and Explore Mode.
Start a Presentation in Gallery Mode
- Click Start Presentation
at the bottom of the toolbar.
- Choose one of the following:
- Whiteboard
- File Share
- Video
The selected tool will open and be shared with participants.
Start a Presentation in Explore Mode
- Click Start Presentation
, located next to the Current Users button on the right side of the screen.
- Choose:
- Whiteboard
- File Share
- Video
The presentation will begin immediately.
Whiteboard
Use the Whiteboard to brainstorm ideas, solve problems together, or illustrate concepts during class.
To begin:
- Click Start Presentation
- Select Whiteboard.
- Choose one of the following:
- Start a Blank Whiteboard
- Upload File to open a previously saved Excalidraw whiteboard.
- Click Open.

Once the whiteboard is open, the presentation toolbar appears at the top of the screen.

Tip: Save your whiteboard before ending your presentation if you want to continue using it in a future class. All saved and uploaded whiteboards are available in the Materials Library.
Share a PDF
The PDF sharing tool lets you display worksheets, lesson slides, handouts, or reference materials directly inside SchoolSpace.
To share a PDF:
- Click Start Presentation
- Select File Share.
- Click Choose File to upload a PDF from your computer or choose a PDF you've previously uploaded from your library.
- Note: you can access your PDFs and remove them from the list at any time by visiting the Materials Library.
- Click Open.
The PDF will appear for participants.

PDF Controls
| Option | Description |
|---|---|
| Open for All | Enlarges the PDF for everyone viewing the presentation. |
| Force Open |
Keeps the PDF open so participants cannot close it. This is particularly helpful when sharing a whiteboard in Explore Mode. In Gallery Mode - will switch to presentation view for all participants so that the PDF will show more prominently. |
| End | Stops sharing the PDF. |

Share a Video
The Video tool allows you to play videos directly inside SchoolSpace without sharing your screen.
This helps:
- Reduce audio issues
- Avoid switching between browser tabs
- Create a smoother presentation experience
You can:
- Upload an MP4 file from your computer
- Paste a YouTube link
To begin:
- Click Start Presentation
- Select Video.
- Upload an MP4 or paste a YouTube URL.
- Note: you can access uploaded videos and remove them from the list at any time by visiting the Materials Library.
- Click Open.

Video Controls
| Option | Description |
|---|---|
| Open for All | Enlarges the video for everyone. |
| Force Open | Keeps the video visible until you end the presentation. This is particularly helpful when sharing a whiteboard in Explore Mode. In Gallery Mode - will switch to presentation view for all participants so that the video will show more prominently. In Explore Mode - The video will show for all users, and students will not be able to close it until you end the presentation. |

Materials Library
All uploaded files and any saved whiteboards will be automatically added to the materials library.
To access the materials library:
- Click on Settings
- Materials Library
From here, you can preview current material, add new documents, or delete any existing material.
Tips for Using Presentation Tools
- Use Whiteboard for brainstorming, math problems, diagrams, or collaborative activities.
- Use PDF Share for lesson plans, worksheets, presentations, or reading materials.
- Use Video Share instead of screen sharing when playing videos to provide a smoother viewing experience.
- Switch between Explore Mode and Gallery Mode at any time. The Presentation Tools will continue to work in both as you switch back and forth between modes.
